About this spreadsheet

Log time once and see which clients, retainers and projects actually make money: retainer hours against what each includes with an overage alert and a renegotiate flag, fixed-fee hours against budget and your own % complete, billable utilization per person, hourly work nobody has invoiced yet, and an effective rate and margin at your cost rates for every engagement and client.

Built for owners and operations leads of small agencies, consultancies and advisory practices that bill by project, retainer and hour at the same time. Enter time daily, as a Friday batch from the Weekly Timesheet, or paste a timer-app export using the column map on Start Here; person and engagement-code checks catch typos. Each engagement carries its own terms: fee and budget hours for fixed-fee work, fee per month, included hours, overage rate and rollover for retainers, a rate for hourly work.

Retainer Burn compares every month's billable hours with what the retainer includes, alerts at the share you choose, and flags a retainer to renegotiate after the number of consecutive months over that you set. Project Budget vs Actual flags projects whose hours run ahead of their progress. Utilization & Capacity shows each person's billable hours against capacity over eight weeks and the year. Unbilled Time lists hourly hours and retainer overage not yet invoiced, with the oldest entry. Margin is at labor cost only and says so; no benchmarks are stated, every target is yours. Four printables (Weekly Timesheet, Retainer Review, Monthly Invoice Preparation Sheet, Team Capacity Planning Sheet) and a five-month completed example come with it.
