Maintenance Work Order System
For landlords and small property management companies that take tenant repair requests and send out vendors
The whole turnover paper trail, not just a checklist: a side-by-side move-in and move-out condition report, a photo shot list with a file-naming rule, keys and meter readings, a pre-move-out letter, a mid-lease inspection and an itemized deposit statement where every deduction names its report line, photos, cost basis and invoice. The Inspection Log counts the days to your deadline for every move-out.
Deposit deductions are decided by the paperwork behind them. Eight forms cover the sequence: the Condition Report (move-in and move-out columns on one form, condition codes, photo numbers, both sign-offs), the Photo Shot List (the same shots in the same order every time, named UnitCode_Inspection_Room_Seq), Keys, Remotes and Meter Readings, the Pre-Move-Out Letter with a forwarding-address slip, the Mid-Lease Inspection, the Itemized Deposit Disposition Statement, a Normal Wear vs Damage discussion sheet and a Useful-Life and Pro-Ration Worksheet that supplies no lifespans of its own.
The Inspection Log workbook holds one row per inspection and one per unit. For each move-out it computes the statement due date from the deadline you set, the days left, and a flag (Open, Due soon, OVERDUE, Sent on time, Sent late). The Dashboard shows deposits held on open move-outs, average days to statement, scheduled inspections and units due a mid-lease check. No state deadline is written into the forms: you enter the one your reviewer confirms, and every legal-weight form carries a jurisdiction line and a review line.
